Show-Biz Trade Show Exhibitor Terms

location/time:
Oregon State Fair & Expo Center
Americraft Center, Salem, Oregon
Thursday, May 13, 2010; 3 to 8pm
2. EARLY BIRD FEES:
If registration and booth fee is received before 4:30 p.m. March. 12, 2010, an
Early Bird booth fee of $400 for members and $500 for nonmembers will be
charged.
3. REGULAR FEES:
Booth fees are $450 for Salem Area Chamber of Commerce (hereafter "the
Chamber") members and $550 for nonmembers. Additional booths may be
purchased at the posted discount. Reservations will not be made until full
payment and registration form are received.
4. BOOTH ASSIGNMENTS:
Booth assignments are first-come, first-served with exhibitor's paid
registration.
5. CANCELLATION/REFUND POLICY:
Any cancellation or changes MUST be requested in writing and received at the
Chamber no later than thirty (30) days prior to the show or April 13, 2010.
Upon written request, a full refund will be made, within thirty (30) days
following the show.
6. EXHIBITOR HOURS:
Exhibitors will be admitted into the exhibit halls at 7:30 a.m. on Thursday,
May 13, 2010 (hereafter "the day of the show”) for set up. All exhibits must
be in place and fully installed no later than 2:00 p.m. on the day of the
show.
7. BOOTH SIZE & FURNISHINGS:
Each booth will measure 10 feet deep by 10 feet wide. Booths will come
equipped with pipe and drape; one eight (8) foot skirted table; two chairs
and a 7" x 44" one line, temporary, cardboard identification sign. Exhibitor
has the option to order additional furnishings from Peter Corvallis
Productions at his/her own expense. (See yellow order form). Electricity
must be requested at the time of your booth reservation, at least 30 days in
advance. (See the Show-Biz Registration Form).
8. EXHIBIT SPACE:
No displays, signs, decorations, banners, advertising matter or exhibits may
extend outside the defined limits of the assigned booth space(s). Aisles,
walkways, and overhead spaces must remain open. Exhibitors may not post
signs outside their designated booth space.
9. SIDE PANEL HEIGHT:
Exhibitor may not extend any sides of his/her exhibit over three (3) feet
high past a line five (5) feet from and parallel to the rear booth line.
10. LICENSES:
Any and all licenses including city, county, state or federal inspections or
permits required by law of any exhibitor in the installation or operation of
his/her display shall be the sole responsibility of and obtained by the
exhibitor at his/her own expense prior to the opening of the show.
11. FIRE HAZARD RESTRICTIONS:
All exhibits must comply with appropriate fire regulations. For information
and/or details, contact the City of Salem Fire Marshall's Office.
12. RESTRICTIONS: (Read Carefully!)
The Chamber reserves the right to restrict or remove an exhibit, without
refund, if it is not in compliance with the terms and conditions of this
agreement or is found to be unsuitable. This restriction applies, but is not
limited to: helium-filled balloons, popcorn, popcorn machines, noise,
display size, sound systems (i.e. radios, televisions, stereos, VCRs),
persons, animals, conduct, printed matter, or anything of the character that
might be unsuitable for the show or the Chamber.
13. RIGHTS OF THE CHAMBER:
The Chamber shall not be liable for any damages or other expenses that are
incurred by the exhibitor in any event that the show is delayed,
interrupted, or not held as scheduled. For any reason whatsoever and for any
reason beyond the control of the Chamber the show is not held, the Chamber
may retain as much of the money, paid by exhibitor, as is necessary to pay
expenses incurred by the Chamber.
14. LIABILITY:
The Chamber assumes no responsibility for loss or damage to the property of
the Exhibitor from any cause whatsoever, including, but not limited to,
theft, fire, vandalism, or other casualty. The Exhibitor is responsible for
the space assigned and shall not damage, mar, or deface the premises.
15. GUARANTEES:
The Chamber makes no representations or guarantees concerning any matters
connected with Show-Biz except as expressly set forth in this agreement.
16. LITIGATION:
If a suit or action is filed against the Chamber regarding this contract,
the Exhibitor promises to pay costs and reasonable attorney fees in such a
manner as set forth by the court.
Special Note:
EXHIBITS CANNOT BE DISMANTLED OR REMOVED BEFORE THE 8:30PM CLOSING TIME.
Violators will not be invited to participate in future shows. Each exhibitor
must remove his/her exhibit including, but not limited to, all boxes,
crates, debris and other material related to his/her exhibit or use of the
display space at the conclusion of the show. The Chamber reserves the right
to charge the Exhibitor for any expense incurred for removal and disposition
of any property or item left after 11 p.m. the day of the show. The Chamber
assumes no responsibility for the loss or damage of any item left in the
exhibit area on the day of the show.
